Process to begin services



Step 1: initial phone call
Have an initial phone call with an administrator to determine if Helping Hands would be a possible fit for you and your family’s needs. Phone calls last about 30 minutes and will go over goals you have for your child, concerns, basic information, and availability for services.
Step 2: insurance eligibility verification
Helping Hands specializes in providing ABA therapy for children with an autism diagnosis, as this is the primary diagnosis covered by insurance. We know every child’s journey is unique, and we’re here to support families in navigating services and finding the right fit. If your child has other developmental needs, we’re happy to talk through options and see how we can help. Once your insurance eligibility is verified, an administrator will contact you to send in forms needed for step 3: assessment request process.
Step 3: assessment request process
Email the following documents to adavis@helpinghandschildcare.org: 1. Subject line of email: First and Last name of child-Documents 2. Client Information Form 3. Formal Autism Diagnosis report 4. Front and back of insurance card 5. IEP (if applicable) 6. List of additional therapies each week and for how long. Example: Speech-1 time a week for 30 minutes; PT- 1 time a week for 1 hour.
Step 4: insurance request for assessment
The Helping Hands administrative team will send a request off to insurance to conduct the assessment. Assessments are approved for 8-10 hours depending on the provider. It takes approximately 2 weeks to 1 month to receive approval (sometimes longer depending on your insurance provider).
Step 5: in-person assessment
Once Helping Hands has received approval for assessment, we will call you to set up a time for an in-person visit. You may also be asked to fill out questionnaires or provide video on a behavior that happens infrequently/specific times of day.
Step 6: submit report to insurance
It takes 2-3 weeks for Helping Hands to complete an initial assessment. Once we have completed our report we will submit it to insurance.
Step 7: insurance approval
It takes insurance approximately 2 weeks-1 month to complete their evaluation before determining if they will approve the assessment request and services for the following 6 months.
Step 8: begin services
Once the wait is over and insurance has approved the requested hours, Helping Hands will set up a time to go over the report, set up initial parent meetings, and schedule direct therapy sessions for your child.
